I had a guy break down because I didn't use a moneyless system

This is why knowing what you'll be playing, or even if you'll be playing, is important.
It's just like being promised a game, and then not getting to play a game, because the so-called GM wants to tell a story for hours on end, and the players just want to make retarded voices at each other.
Be upfront with what the activity everyone set aside time for is.

I actually did make this mistake

>party working for a dude who is paying them a flat sum plus expenses

They scammed the me and the guy at the same time. It was funny enough and my mistake so I completely let them off the hook. They still bring it up all the time.
I improved my bookkeeping significantly after that though
